How to drill down from one summary view to another summary view

Updated on September 20, 2019

Summary

When you design your report structure, use this feature to start with a summary view of information that accesses more detailed information as you drill down, or click on items, in the report or chart. This article shows you how to configure a drill down process through a series of summary views.

The example in this article demonstrates the drilldown process using a series of steps to view purchase orders. The first summary view lets the user select a company, then choose from customers in the company in the second summary view. The final view is a detailed view of information about the customer's purchase orders.

Suggested Approach

    1. Design the sequence for your summary views. The views should enable access to more detailed views by a mouse click on an element in the view.
    2. Identify the properties to use as summary levels for the views.
    3. Create or edit two summary views. Plan to make the first view the higher-level view and the second view the more detailed view.
    4. Open the first summary view.
    5. In the Content tab, choose the appropriate summary level property (Step 2) from the SmartPrompt dropdown list. In the example, the summary level occurs on the pyCustomerOrg property. When you click the company name in the finished view, you will see a chart of customer names for that company.
    6. In the Fields section, choose a Function from the dropdown list and enter a caption. In the example, the Function field specifies that the values in the .pyCustomerOrg property will be counted and the results displayed in a column of the report under the heading "Company Purchase Orders".

    1. In the Report Source section, enter a Page Name.

    2. Open the Drill Down tab.
    3. In the Drilldown To field, choose Summary View.
    4. Click Configure.

    1. In the Configure DrillDown SummaryView section, enter the class of the second summary view, the title of the summary view in the purpose field, and the owner.
    2. In the SummaryView Parameters section, enter a text alias in the parameter name field and the parameter value to pass to the second summary view. You can use a literal text string, an existing parameter, or GroupBy column property name.
    3. Enable Include Column Condition, to pass the parameter field formatting to the second summary view and apply the same formatting.

In the example, the parameter value .pyCustomerOrg is associated with the MyParam alias and passed to the second summary view when you click the company name. Specify the alias and parameter in the Criteria section of the second summary view and only customers from the selected company will display.

    1. Click Apply.
    2. Click the Save toolbar button.
    3. Open the second summary view; the one that drills down to a detailed view.
    4. In the Criteria section, choose the property that you passed from the first summary view.
    5. Set the Condition to Is Equal.
    6. In the Value field, enter the parameter name alias you set in the first summary view preceded by the text "param". In the example, the value is param.MyParam. This selects objects whose .pyCustomerOrg property (company name) is equal to the parameter value passed in.
    7. In the GroupBy field, choose the appropriate summary level property (Step 2) from the SmartPrompt dropdown list. In the example, the summary level is on the customer name property. When you click the customer name in the finished view, you will see a list of purchase orders for the customer.
    8. In the Fields section, choose a Function from the dropdown list.

    1. In the Report Source section, enter a Page Name.

    2. Open the Drill Down tab and choose Detailed View in the DrillDown To field.
    3. In the Field column, choose properties for the detailed display from the SmartPrompt lists. Properties must be exposed.
    4. Enter a Caption for each property.

    1. Click the Save toolbar button.
    2. Open the first summary view and click the Run icon. The first summary view displays in table or chart format according to your design. In the example, the display is a pie chart of companies.

    1. Click on an element in the chart or a value in the table and the display drills down to the second summary view. In the example, the display is a pie chart of customers.

    2. Click on an element in the second summary view and the display drills down to another summary view or detailed view according to your design. In the example, when you click the customer name in the chart, you see a detailed view of all the purchase orders for the customer.

  1. To create an expanded hierarchy of summary views, create more summary views and repeat Steps 5 to 15.
