PMF 6.1.1 - Using the administrative functions

The Project Management Framework administrative functions provide project managers with the ability to add, maintain, and monitor key project inputs including:

    • Status reports
    • Application profiles
    • Products and releases
    • Project resources
    • Project templates

Functions are launched from the New, Tools and View options of the Actions menu located at the top right of the portal.

 

Document Tool

Select to launch a guided process that walks you through the selection of report elements and detail for the framework project status reports and sprint summaries. See the article Documenting Project Progress for step by step instructions.

 

Import Tool

This tool allows you to upload and import application profiles or Smart BPM project and task group templates that were created and packaged as zip files in another system.

  • When you import a profile, it appears in the list of profiles that can be selected and used to prime a project tree or backlog with task groups. You can import profiles created in DCO versions 3.2, 3.3 and 6.1.
  • When you import a template, it displays in the list of available templates that can be used to create a project or task group/scrum sprint. Templates created in any version of PMF can be imported.

 

    1. Select to display the Application Import gadget in a pop-up window.

    1. Browse for the file and click Upload file.
    2. When the upload is complete, leave the import option boxes unchecked.
    3. Click Import.

Note: Once the file is imported, you can import the contents of the Application Profile into a project by clicking on the Tree tab.

Products and Releases

Product and release menu options support the entry and maintenance of products and product release versions, a flexible alternative to the traditional application and release version approach often used for development projects. Products automatically create a Backlog task group for use in Scrum and SmartBPM projects.

Products and releases have lifecycles. This allows you to update them as well as retire them when they are no longer active.

Products are intended to provide overall visibility into different releases and backlog. Releases are used to track activity for different versions of the product. Changes made during a release can be implemented in one or more parallel projects. The following diagram illustrates the typical one-to-one project approach, and the more flexible multiple project approach.

 

Adding a Product

Adding a product creates the product, the product's initial release and a project backlog.

    1. Select .

Alternatively, you can select to display a list of all products. Click Add Product.

    1. Enter the name of the product, select an optional product category, and enter a description.
    2. Enter a name for the initial release and a version value for the release.
    3. Click Create to add the product, the initial release and a product backlog.

Product IDs are prefixed with PRD-, releases with RLS- and backlogs with GRP-.

 

Adding a Release

    1. Select either to start a guided entry process that begins with the Enter Details tab

Alternatively, you can select to display a list of all products and their releases. Select a product and click Add Release.

    1. Select a Product for the release and enter a name for the release and a version.
    2. Optionally, enter a planned start and end date and product areas.

    1. Click Next >> to display the Manage Settings tab.

 

  1. Select the default workbaskets. You can select one of the standard PMF workbaskets or one that you created as part of setting up the frameworkthat appear in the selection list. Projects that reference product versions inherit the routing and approval for the product.
  2. Check the approval and verification options you want to apply to work performed on projects for this product.
  3. Click Finish.

Maintaining Products

PMF allows you to update active products, copy them, and retire or withdraw them.

    1. Select to display the list of products.
    2. Double-click a product row to display the product.
    3. In the Assigned To section of the Details tab, select and complete an action.

Maintaining Releases

You can update active releases as well as retire or withdraw them.

    1. Select to display the list of products.
    2. Click the Release Count column in a product row to list its releases in a pop-up window.
    3. Click a row to display a release.
    4. In the Assigned To section of the Details tab, select and perform an action.

 

Maintain Resources

Resources are PMF operators assigned to one or more projects that perform work in a project. They can include developers as well as the administrative members of the project team.

This maintenance function sets default projects and email settings for individual operators. The default project drives the default project value when entering new bugs and tasks.

    1. Select .
    2. Enter operator data into one or more of the entry fields and click Find to display a list of operators that meet that search criteria. If you leave the fields blank, a list of all operators displays.

    1. Select an operator and click Update.

  1. Enter an optional email address.
  2. In the Preferences section, select the project that defaults when the operator enters project work and their default dashboard view.
  3. If the user has an email address associated with their ID, you can set Email/Notification Settings.
  • Select an email frequency; the Daily option sends all notifications once a day in an email summary
  • Choose when you want the user to receive emails by checking all boxes that apply
  • Click Save.

 

Creating Templates

The and menu options create and maintain templates used to prime the entry of new SmartBPM projects and task groups. See Building BPM Project and Task Group Templatesfor step by step instructions.
