Permission access templates

Access templates provide a convenient way to set permissions on operators, which you must save to the operator record. Starting from Pega Sales Automation 8.3, for security reasons Pega no longer provides operators in the PegaCRM-Data_SFA-OperatorAccess class by default. Instead, Pega Sales Automation uses system access templates, which are located in PegaCRM-Data-SFA-OperatorAccess-Template.

Note: In Pega Sales Automation 8.2 and earlier, templates for access permissions for operators are associated with the operators. When you create a new template for operator access, you also have to create a default operator. You can then use that operator to apply permissions to other operators. Now, in Pega Sales Automation 8.3, access templates are no longer associated with operator records and can be applied individually.

In Pega Sales Automationthere are two types of permission access templates:

System-generated access templates

Pega Sales Automation includes system-generated access templates. If a default operator was created before Pega Sales Automation 8.3, that operator still has the same permission settings.

System-generated access templates are final permission settings, which means that you cannot change the names of the templates or deactivate these templates. Additionally, you cannot add more secondary territory rows to these access templates. After you apply a system-generated access template to an operator, you are no longer able to change the template on the operator level.

For any new territory that is created, the system identifies the closest available ancestor territory that has its own system templates. By default, all territories use the templates associated with the GLOBAL territory unless there are other territories in the path that have separate access templates.

Upgrading from earlier versions of Pega Sales Automation requires no additional action, because the Validate and Save activities in the PegaCRM-Data-SFA-OperatorAccess and PegaCRM-Data-SFA-OperatorAccess-Template classes automatically move permissions definitions.

User-generated access templates

By default, the user-generated access templates list is empty. User-created access templates are not final permission settings. After you apply a user-created access templates to an operator, as a sales operations, you can always change the template. Compared to system-generated access templates, there is no limitation on creating these items, except that you cannot have multiple access templates with the exact same name.

Configuring permission access templates

As an operator with the Sales Ops persona, you can create, view, edit, and apply access templates to operators.

  1. Manage permission access templates by performing the following steps:

    1. In the User portal navigation pane, click ToolsAccess templates.
    2. In the upper-right corner of the screen, click Create access template.
    3. Enter a name for the access template.
    4. Define access rights for the template.
    5. Optional: Add secondary territory rows at each level by clicking the plus icon.
    6. Click Submit.
    Edit access templates
    1. In the User portal navigation pane, click ToolsAccess templates.
    2. Open the access template that you want to edit.
    3. Deactivate the access template by clearing the Active check box.
      You can only deactivate user-generated access templates.
    4. Add secondary territory rows at each level by clicking the plus icon.
    5. Change any of the access rights by clearing the check boxes that correspond to particular actions, for example, creating organizations.
      The system saves the territory ID in the access template instance. The territory ID is used to filter the list of available access templates based on the territory signature. Local Sales Ops do not see any access templates in the territory hierarchy above their own territory. If there is no territory assigned, the system adds a global territory (BT1). Only Global Sales Ops and system administrators can see all user-created access templates.
    6. Click Submit.
    View access templates
    1. In the User portal navigation pane, click ToolsAccess templates.
      All access templates are PegaCRM-Data-SFA-OperatorAccess-Template class instances.
    2. In the upper-right corner of the screen, click the Expand icon and select either system-generated or user-generated access templates.
    Apply access templates
    1. In the User portal navigation pane, click Operators, and then open the operator for which you want to update the access permissions.
    2. In the navigation pane, click Access & permissions.
    3. Click Edit.
      Pega Sales Automation applies system-generated access templates by default. If you want to apply a user-generated access template, you must first clear the Use default operator access check box, select the primary territory, and then select a user-generated access template from the Access templates list.
    4. To apply a system-generated access template, select the Use default operator access check box, and then click Submit.
    5. To apply a user-generated access template, select the primary territory from the Primary territory list, and then select an access template from the Access templates list.
    6. Click Apply.
    7. Click Submit.
