Completing the Save As form
Use the Save As form to copy an existing rule or data instance.
Overview
The Save As form copies an existing record's functionality to a new record with unique key parts. This form is pre-populated with the original record's key parts and intelligently defaults values for the new record's context. All fields on the form are editable so you can customize how the copy is created.
Use these steps to complete and submit the form:
- Open the Save As form
- Review original record details
- Edit the record configuration
- Edit the record context
- Track changes in PMF (optional)
- Create the record
Note: Since the Save As form displays a subset of the fields and functionality found on Create form, only exceptions and special cases are outlined in this topic. For general definitions and instruction on how to define a record's configuration and context, see Completing the Create form.
Step 1: Open the Save As form
Locate the record you want to copy. Open the Save As form by using one of the form header buttons:
- If the record is unlocked, use the Save > Save As option
- If the record is locked, use the Save As option directly
Step 2: Review original record details
The Save As form header text uses the following format: Save As [record type] [original record short description]
Hover over the [original short description] to review details about the record you are copying:
- Short description
- Identifier
- Apply to
- ruleset : ruleset version
This information is useful since the Save As form intelligently defaults the record context fields based on your last Save As operation.
Step 3: Edit the record configuration
Review the record configuration to determine what key parts to change:
- If you are not changing the context for this record (ruleset, ruleset version or Apply to class), you must change at least one key part in the record configuration.
- Additional configuration options (also known as Quick Create options) are not available when performing a Save As of a rule.
- If the record type you are copying has name restrictions, the Identifier field appears as not editable.
Step 4: Edit the record context
Review the record context to determine what fields to change:
- If you are not changing the configuration for this record (short description, key parts) you must change at least one item in the record context.
- When copying a rule with
Final
availability, and not changing any key parts, you must choose the same ruleset name and a higher version number. By definition, you cannot override a Final
rule with another rule in a different ruleset.
Note: Although record availability cannot be set directly on the Save As form, it will be automatically cleared for your newly created record under the following Save As scenarios:
- The record Identifier is unchanged AND
- The original record status is NOT internal AND
- One of the following conditions is met:
- Add to ruleset name is changed
- Apply to class is changed
- The original record has a circumstance defined
To review a record's status and availability, open the record form in the work space and click the status or availability type in the form header.
Step 5: Track changes in PMF
Use the Project Management area of the form to link your development changes to items in your PMF worklist. These options are only available if your application is enabled for Project Management tracking .
Project Item
Select an item from the list that you want to associate with this rule. This list is populated from your Project worklist. To update the list with the latest information from your integrated PMF system, use the Refresh link.
Description
This read-only field displays when a User Story item is selected from the Project Item list. Use this field to view more information about the item.
Effort tracking
Two additional fields display in this area when a Bug or Task item is selected from the Project Item list.
- Use the Additional worked field to capture the amount of time (in hours) you have spent working on this item since the last time it was updated. The time you enter here is added to the Actual Hours of the item.
- Use the Remaining hours field to estimate the amount of time (in hours) you think it will take to complete the item.
Note
Add a development note describing the work done for the item selected in the Project Item list. The text you enter here adds an entry to the Related Updates tab of the item.
To view a list of record changes for your operator without logging into PMF, launch your PMF worklist from the Home Page and click the View Changes link. You can choose display a list of your changes from the My Changes tab or all record changes in the application from the All Changes tab.

Step 6: Create the record
Use one of the following buttons available in the Save As form header:
- Click Create and open to create the record and view the record form. If errors on the form prevent the record from successfully saving, it will not be created until you resolve the issue and click Save.
- Click Cancel to close the Save As form, discard all selections and focus the work area on the most recently opened item.
Troubleshooting
- If your newly created rule is not being executed, it may be related to the rule resolution algorithm which operates differently on different rule types. See the help topics Completing the Create form for each rule type to understand specifics of rule resolution for that type.
- Many standard rules have Work- as the Apply to key part, but you cannot create additional rules with Work- as the Apply to key part. When you're copying such a rule, the Save As form defaults the name of the container class for the current work pool as the Apply to class.
- The Save As form is restricted to those users who hold the privilege @baseclass.ToolbarFull or @baseclass.ToolbarSaveAs.
- The availability of your new rule is not specified on the Save As form. See Identifying form parts for details on how to set this attribute using the form header of the rule.
- The status of your new rule may be automatically cleared if the following criteria are met:
- The original rule status is NOT internal
- One of the following conditions apply
- The specified rulesetis not a branch of the original rule
- You are changed the Apply To class
- The original rule has circumstances defined
