Copying a rule or data instance

Use the Save As form to copy an existing record's functionality to a new record with unique key parts. This form is pre-populated with the original record's key parts and creates default values for the new record's context.

The Save As and Specialize by toolbar tools are restricted to those users who hold the privilege @baseclass.ToolbarFull or @baseclass.ToolbarSaveAs.

Note: Because the Save As form displays a subset of the fields and functionality found on Create form, only exceptions and special cases are outlined in this topic.
  1. Open the record you want to copy and complete one of the following steps.
    • If the record is locked, select Save As.
    • If the record is unlocked, select Save > Save As.
  2. Review the record configuration to determine what key parts to change. Note the following.
    • If you are not changing the context for this record (ruleset, ruleset version or Apply to class), you must change at least one key part in the record configuration.
    • Additional configuration options (also known as Quick Create options) are not available when copying a rule.
    • If the record type you are copying has name restrictions, the Identifier field appears as not editable.
  3. Review the record context to determine what fields to change. Note the following.
    • If you are not changing the configuration for this record (for example, short description or key parts) you must change at least one item in the record context.
    • When copying a rule with Final availability and not changing any key parts, you must select the same ruleset name and a higher version number. By definition, you cannot override a Final rule with another rule in a different ruleset.

      Although record availability cannot be set directly on the Save As form, it will be automatically cleared for your newly created record under the following scenarios:

      • The record Identifier is unchanged, and
      • The original record status is not internal, and
      • One of the following conditions is met:
        • Add to ruleset name is changed
        • Apply to class is changed
        • The original record has a circumstance defined

        To review a record's status and availability, open the record form in the work space and click the status or availability type in the form header.

  4. To override the default work item that your application associates with this development change, press the Down Arrow key in the Work item to associate field, and then select a work item.

  5. Click Create and open to create the record and view the record form. If errors on the form prevent the record from successfully saving, it is not created until you resolve the issue and click Save.
