Understanding Monitor Processes reports in the Monitor Activity workspace

Summary

 

Monitor Processes reports provide information about the open (unresolved) work items being processed by one application.

Monitor Processes reports are important as they support day-to-day monitoring of the backlogs of work that have arrived but are incomplete. They show counts of the work grouped by status, compare the number of open items today with the number a week ago, and so on.

Summary Reports

The following are descriptions of the summary view reports in the Monitor Processes category.

Process Status report

Shows in a pie chart the fraction of open work items for each work item status (such as New, Open, Pending, and so on).

Effort progress, grouped by customer

For open work items, compares totals for estimated effort versus actual effort, summarized by customer and customer division. Using this report results in empty values for actual effort, estimated effort, customer and customer division in their flows, forms etc.

In the summary view, the sum totals of estimated effort and actual effort are displayed while in the drill down view, individual values for estimated effort and actual effort are displayed. This can help identify which customers send work that requires the most labor. Click a row to see the open work items and the effort statistics for each.

Open count of work, grouped by status

This shows how many open work items have status values (such as New, Open, Pending, and so on). This can help identify how work progresses through the typical sequence of status values for your business.

Progress by organization

Compares totals for estimated effort versus actual effort, summarized by unit, division, and organization for open work items.

This may identify which units within the division spend the most labor effort on the application, and how the actual effort compares with the estimates.

Click a row to see the open work items for a unit. Using the OOTB version of this report results in empty values for estimated effort and completed effort unless the client provides the values for pyEffortEstimate and pyEffortActual in their flows, forms etc.

In the summary view, the sum totals of estimated effort and actual effort are displayed while in the drill down view, individual values for estimated effort and actual effort are displayed.

The count that comes up in the summary view is the count of the open work items.

Progress by organization unit

Presents a horizontal bar chart comparing estimated effort versus actual effort, by unit, for open work items in the current application owned by your current division. This may identify which units spend the most labor effort on the application, and how the actual effort compares with the estimates.

Click a row to see the open work items for a unit. Using the standard version of this report results in empty values for estimated effort and completed effort unless your application provides the values for pyEffortEstimate and pyEffortActual in your flows, forms etc.

In the summary view, the sum totals of estimated effort and actual effort are displayed while in the drill down view, individual values for estimated effort and actual effort are displayed.

Throughput in past week

Presents a vertical bar chart with two bars for each work type in the current work pool, counts how many are open now versus those that were open a week ago.

Above, work types are differentiated by Previous Balance and Current. The chart also displays which work types are New and which ones are Resolved.

Timeliness by organization unit

Displays a chart of open work items for each unit in a division. The length of each bar identifies the number of open work items in the current application that are owned by the organization unit.

Counts are broken out by items within the current goal, those that are beyond the goal time but within the deadline time, and those that are beyond the deadline time. This chart allows you to identify which organizational units have the largest backlog and how timely the items are.

Click a row to display options to open the work item in review or perform mode as well as view the history or attachments of the work item.

Timeliness by work type

Displays a vertical bar chart with one bar showing how many work items for each work type are measuring against established service levels for Goal, Deadline, and Late.

Segments identify work items with the current goal, those that are beyond the goal time within the deadline time, and those that are beyond the deadline time.

Click a row to view the open the work items in review or perform mode as well as the history or attachments of the work item.

List View Reports

The following are descriptions of the list reports in the Monitor Processes category.

Entered by operator

Lists the open work items associated with an operator.

Clicking on a row within the list will present a new window with basic item information and options available for that item such as Review, Perform, History, Attachments, etc. Double clicking on a row will overlay the current screen with the item in the current state within the flow.

To specify search criteria clicking the magnifying glass which opens the Pick Value(s) dialog. Under Available Values you can select which values to search for and will be displayed in your results. You can also specify searching by valid values.

Compatible Columns specifies which properties you wish to display in list view.

Clicking Run, will display results according to the criteria entered in Pick Value(s).

Work by resolved operator

Lists work items that have been resolved.
