Importing the business unit hierarchy for initial implementation

Efficiently add your business unit hierarchy on a schedule that works best for you by using the .csv file template and import process. Import the business units from your chosen external system of record.

Note: The hierarchy import feature removes the need to submit a request to the Workforce Intelligence Service Delivery Team; however, the team can assist with any questions that you have about the process.
  1. In the header of Pega Workforce Intelligence, click AdministrationOrganization.
  2. On the Organization page, click the Departments tab.
  3. In the upper-right corner of the page, on the Actions menu, click Export Departments, as shown in the following example:

    Result: The exported .csv file is downloaded to your computer. This file is blank because you are importing your hierarchy for the first time. After this initial export, the exported file contains the current business unit information for your organization.
  4. Add the hierarchy information from your system of record to the columns in the .csv file, using the following column descriptions:
    Note: Bracket characters, including [] and <>, are not supported.
    ColumnDescription
    NameThe name of the business unit as you want it to be displayed on reports.
    Unique IDThe unique identifier for the business unit. This value is required because business units can have the same name. This ID is case-sensitive.
    Parent NameThe parent name that you want to display on reports.
    Parent IDThe unique identifier for the parent of the business unit.
    LevelThe level of the business unit, which is company, department, or team. Ensure that you have only one entry (row) to define the company level of your hierarchy.
    Production Goal %The business unit’s production goal percentage, expressed as a value from 1 to 100. The production goal percentage is used to calculate expected production hours. Leave the column blank if you want the business unit to inherit the production goal percentage from the parent business unit.
    Assigned ConfigurationThe name of the assigned configuration for the business unit. Leave the colum blank if you want the business unit to inherit the assigned configuration from the parent business unit.
    StatusThe status of the business unit. The default setting for initial import is enabled.
    The following restrictions apply to the .csv file:
    • The maximum number or rows supported in the spreadsheet is 5,000.
    • The maximum file size that is supported for upload is 1 MB.
    • When you export and open the file in a program such as Microsoft Excel, the program might change the format of your data, such as removing any leading zeros. For more information, see Exporting and Importng IDs in Workforce Intelligence.
  5. After finalizing your changes to the spreadsheet, save the file as departments.csv, as shown in the following example:

  6. In the header of Pega Workforce Intelligence, click AdministrationOrganization.
  7. On the Organization page, click the Departments tab.
  8. In the upper-right corner of the page, on the Actions menu, click Import Departments.
  9. In the Import Departments window, drag your updated departments.csv to the box, or click the box to select your file.
  10. Click Import.
    Result: The system imports your business unit hierarchy. A success message is displayed on the top of the Import Departments window if the import completed without errors.
  11. If you receive errors, review the messages to correct any issues and reimport. Contact the Workforce Intelligence Service Delivery Team if you need assistance resolving errors.
  12. Close the Import Departments window.
